Departure Instructions #


The information on this page applies to the Spring 2026 term only.

Departure Form #

Submit your departure details via the departure form by 12:00 PM on Monday, April 27.


Book Return #

Return all course books to the Swedish Program office by 4:00 PM on Monday, May 4. To return your books, please:

  • Hand your books to Lillian in her office, OR
  • Place your books in a pile in the Swedish Program classroom OR on the green chairs in the Swedish Program hallway. Label the pile clearly with your name on a post-it note. Post-it notes will be provided.

If not returned, you will be charged a replacement fee of 400 SEK per book. Books left in your apartment or elsewhere will be counted as not returned.


Borrowed Items #

Please make sure to return any other items you borrowed from the Program (e.g., calculators, playing cards, laptops, additional books, etc.). You will otherwise be charged a replacement fee for the full value of the unreturned item. If you borrowed anything from faculty, staff, contact families, the library, etc., remember to return those items to their rightful owners.


Moving Out #

To ensure that you receive your full deposit after moving out, please follow these instructions carefully. We expect that you leave the apartment in the same condition as you found it. Plan ahead and start your preparations early.

Departure Day #

Apartments must be vacated on or before Monday, May 4.

Apartment Keys, SSE Card, and SL Card #

Follow these instructions to return these items:

  • Leave your apartment keys and white SSE card in the drawer under your bed. If you don’t need your SL card after moving out, please leave your SL card in the drawer, too. If you will continue to use your SL card, you can keep it.
  • Take a photo of your keys and SSE card inside the drawer with the apartment number visible on the key tag. In the rare case that keys go missing, this photo will be your receipt of return. You do not need to send us the photo unless we ask.
  • Close your apartment door and lift the handle when you depart, but leave the door unlocked.

If your apartment keys are not returned, you will be invoiced for the cost of changing the lock, which is typically around 3000 SEK. If your SSE card is not returned, you will be charged a replacement fee of 150 SEK. Please note that you can access the SSE atrium after returning your card on weekdays from 8:00–17:00 via the unlocked visitor’s entrance at Bertil Ohlins Gata 4, but you cannot access the Swedish Program office without your card.

Mailbox Padlock and Key #

Follow these instructions:

  • Empty your mailbox and remove the padlock.
  • Place the padlock and key in the safety box located inside the tall cupboard next to your refrigerator.

Personal Belongings #

Do not leave any personal belongings in the apartment. This includes but is not limited to clothes, boxes, books, course literature, personal decor, and so on. Please ONLY leave the items that were in your apartment originally such as kitchenware, towels, bedding, and other furnishings. You may also leave cleaning supplies. If you bought something for the apartment that you don’t want to dispose of, such as a kitchen appliance, you may email stockholm@swedishprogram.org to ask if you can leave it behind. If you need to get rid of extra belongings, you can donate items that are in good, clean condition to second-hand stores like Stockholms Stadsmission or Myrorna. You can also dispose of extra belongings at some recycling stations. Do not throw unwanted belongings in the building’s garbage bins.

Garbage and Recycling #

Do not leave any garbage or recycling in the apartment. Please dispose of any garbage or recycling as soon as possible. Swedish law requires that all waste be sorted into the proper bins.

Food #

Do not leave any food in the apartment, including in the fridge, freezer, or cupboards. Non-perishable items such as spices, canned goods, unopened boxes of pasta, etc. may be left in the Swedish Program classroom to donate to future students. Please dispose of everything else.

Cleaning #

Please clean the apartment thoroughly, including the following:

  • Wipe down the inside and outside of all closets, cupboards, shelves, and drawers. Double-check that you haven’t left any belongings on the highest shelves.
  • Remove any stains from the walls. You can pick up a “magic eraser” sponge from Andrea’s office during exam week.
  • Clean the bathroom:
    • Wipe down the sink, faucet, shower, shower drain, toilet (including the bowl, seat, and lid), floors, mirror, washing machine, etc.
    • Hang your towels on the hooks or drying rack in the bathroom.
  • Clean the kitchen:
    • Wipe down the sink, countertop, cupboards, shelves, drawers, backsplash, stovetop, oven, kitchen exhaust fan, fridge doors, etc.
    • Clean inside the fridge and freezer.
    • Wash all plates, bowls, glasses, cups, cutlery, and utensils. Dry them and put them back in the cupboards/drawers.
    • Wipe down the dining table and chairs.
    • Take out all trash and recycling. Please remember that recycling is not optional. You may not put glass, metal, or other recyclables in the general garbage bins. Hazardous materials like batteries and lightbulbs need to be returned to the proper collection bins, which you can find at SSE and at most grocery stores.
    • Wipe down the garbage containers to remove any food residue.
  • Remove the bed linens from your bed and place them in the hamper in the bathroom.
  • Take the welcome mat and the kitchen rug outside the property and shake them off to remove any dirt and pebbles.
  • Sweep or vacuum the apartment thoroughly, including under the bed and in the bathroom.

Missing Inventory and Damages #

Confirm that you have four plates, glasses, sets of cutlery, etc. in the kitchen. If any items are missing, please check with your fellow students, as these items may have been moved around between apartments during the semester while cooking together. Any missing, broken, or damaged items must be reported before you move out by submitting a fault report. Please be advised that the cost of repair or replacement for missing, broken, or damaged items may be recovered from your apartment deposit in accordance with our Damage Agreement.


Luggage #

We are unable to store luggage in the Swedish Program office, and luggage cannot be left in the apartments after Departure Day. For storage rental options, see Luggage Storage.

After Departure #

Statement of Grades #

Your Statement of Grades or, if required, Official Transcript will be sent directly to your university or college within 6 weeks after you return home. As a convenience, we will also send a copy directly to you. For more information, please see Grades & Transcripts. Epassi #

You can continue to use your Epassi card after departure. Epassi applies an international transaction fee of 2.95% for transactions outside of Sweden. You must use your card at least once every 12 months to keep the card active. After the semester ends, the Swedish Program will no longer administer your card. You will be solely responsible for managing your Epassi account.

Apartment Deposit #

Your apartment deposit will be returned within 6 weeks after you return home if there is no damage to your apartment. Any applicable costs for repairs or unusual cleaning will be deducted from your deposit in accordance with our Damage Agreement.

Swedish Program Google Account #

Your swedishprogram.org Google account will remain active for two years after the term ends. Please download and back up any files or correspondence that you wish to keep. You will receive a notification email at your swedishprogram.org email address approximately three months before the account is scheduled for deletion.
